Photographic Release

Photos of participants may be posted on tour descriptions web pages after some tours.  Unless guests issue specific instructions, that they are not to be included it is assumed that they consent to such use of their likeness. Guests who wish to decline may advise using the “Notes” portion of the Reservation Request form. In the event that a guest declines, it is expected that he or she will not participate in arranged group photo sessions.

Documentation

The traveler is responsible for carrying a valid passport and possessing any required visa(s). Special Private Tours is exempt from any liability, should the traveler be deported or refused entry for not meeting entry requirements or passport irregularities. The traveler will be responsible for any of the costs as a result of this. According to our established cancellation policies and voluntary withdrawal from our services.

Liability and Responsibility

Special Private Tours, we assume no responsibility whatsoever in whole or part for any occurrences including but not limited to any delay, loss, accidents, personal injury, sickness, medical expenses, or property damage occasioned by fault or negligence of any person, employee, or company entrusted with the performance of such service from whatever cause.

We assume no responsibility whatsoever for any expense or inconvenience caused by late arrivals and departures of trains, ships, airplanes, buses, autos, or any changes of schedule.

Special Private Tours, we assume no responsibility for the loss of, or damage to your luggage, money, jewelry, valuables, or any other belongings whatsoever and howsoever caused.

Payment

All reserved services require payment in full prior to arrival date, according to the following conditions:

Regards the short day’s tours (one, two, or three day’s tours)

It is mandatory to make full payment before the tour begins. In certain cases, we offer a deposit option, and the remaining amount must be paid no later than one week prior to arrival. The booking is considered pending until the deposit is received.

Regards the multi-day tours (more than 3 days)

  • We ask for 200 Euro as a non-refundable travel designing fee, as your vacation will be a 100% customized itinerary. This fee will be applied to the cost of the trip.
  • 25% payment upon confirmation.
  • 75% payment 30 days prior to arrival.

Cancellation policy

Regards the short days’ tours (one, two, or three days tours)

  • In the case of a deposit, the remaining balance must be settled.
  • If the activity is canceled within 7 days before the start of the activity, the paid price will be fully refunded.
  • If you cancel the activity between 6 to 2 days before it starts, you will receive a 50% refund of the paid price.
  • If the activity is canceled within 48 hours of its start time or in the case of a no-show, a refund of the paid amount will not be issued.
PLEASE NOTE: Refunds will be done via the same way used to pay the booking (if available) and the customer must pay all the credit card fees & non-refundable reservations/services that may apply. 

Regards the multi-day tours (more than 3 days)

  • Please note that your 200 Euro travel designing fee is a non-refundable service.
  • Cancellation up to 30 days before arrival: the paid price is fully refunded.
  • 29 to 15 days before arrival: the paid price is 75% refunded.
  • 14 to 10 days before arrival: the paid price is 50% refunded.
  • 9 to 7 days before arrival: the paid price is 25% refunded.
  • Cancellation 6 to 0 days before arrival: the paid price is not refunded.
PLEASE NOTE: Refunds will be done via the same way used to pay the booking (if available) and the customer must pay all the credit card fees & non-refundable reservations/services that may apply. 

Extraordinary cancellation

Special Private Tours, we may cancel the activity on the agreed date without observing a period of notice. If weather conditions, official measures, strikes, or other unforeseeable or unavoidable external conditions (in particular force majeure) make the execution of the activity impossible, make it considerably more difficult, or endanger it. In this case, the paid price is refunded.
